This learning exercise helps body-art students review the process without using real client information.

Practise the explanation before the appointment

Imagine a client asks, “Why do you need this detail?” Use a blank form to rehearse a plain-language answer for each field. Where the answer is unclear, ask your instructor to explain the intended purpose. Do not collect extra information simply because another studio’s form includes it.

Make the route through the studio visible

Draw a simple route from the initial enquiry to the appointment record and any follow-up. Mark who sees information at each step. Include a booking inbox, a paper folder and a shared device if those are part of the proposed workflow. This exercise often reveals questions that the form itself does not answer.

Treat photographs as a separate discussion

Recordkeeping and promotional photographs serve different purposes. Practise explaining which use is proposed and how the client can ask questions. Do not assume that agreement to a service also answers every question about publication of a recognisable photograph.

Check the New Zealand reference

The Privacy Commissioner’s principles explain how personal information is collected, stored, used and shared. Principle 1 addresses the purpose and necessity of collection. Read the relevant guidance with the person responsible for the studio’s privacy process and record the issues that need a specific answer for your workflow.

Official reference: Office of the Privacy Commissioner: privacy principles.

Bring a specific question to your tutor

Use your notes to identify one part of the process you cannot yet explain. Ask your tutor to review it before using a form with a client. These are study questions, not a ready-to-use consent form or a substitute for advice on your studio’s obligations.

Explore the courses available in your region and check the curriculum for your chosen discipline.

Good documentation supports a clear conversation and a record that the right person can understand later.
