A short written follow-up helps prevent an enquiry being mistaken for an agreed procedure booking.

State what remains uncertain in neutral language. Explain which information or appropriate assessment is needed and who should provide it. Avoid speculating about a diagnosis, promising that a concern is harmless or creating a new rule on the spot.

Record the conversation through the normal confidential process. Distinguish a provisional enquiry from a confirmed appointment. If another professional’s advice is needed, explain the referral or information route without implying that your own training substitutes for it.

A tattoo reference that raises an unanswered question

In this fictional role-play, a client sends a photograph and asks for “exactly this, tomorrow”. The artist has not established the client’s brief, permission to reproduce the design, the required assessment or the booking conditions. A useful reply is: “I can discuss the idea with you. First we need to clarify the design and complete our normal consultation. I cannot confirm that exact result or appointment from the photograph alone.”

Notice the separation of interest from commitment. The reply acknowledges the enquiry and names the next action without diagnosing, rejecting the person or promising suitability. A record should show the unresolved question and the agreed follow-up. It should not say “approved” merely because the client sent a reference or said they were happy to continue.

Turn the pause into a clear follow-up

The brief: What has the client asked for, and which detail still needs confirmation?

Missing information: Who will provide it, and through which agreed contact route?

Price clarity: What does the figure discussed cover, and which choices affect the final amount?

The reply: Who will respond, and when should the client expect to hear from them?

Booking status: Has only a consultation been discussed, or has a procedure appointment actually been agreed?

If the client changes from a small outline to a larger, more detailed piece, record the revised brief before continuing the price discussion. Do not leave the earlier figure attached to a different request.

For UK price information, refer to the CMA’s official summary on clear and accurate pricing. It explains including unavoidable charges in the total price and giving clear calculation information when the customer’s requirements prevent a total being worked out in advance. In a consultation exercise, make the proposed work and pricing basis clear before moving towards a booking. This supports clear communication alongside the usual assessment and consent process.

Write a clear pause statement

Practise a short consultation response on paper: 'I need to clarify that point before we discuss the next step.' It makes the missing information explicit without promising an outcome.

Name the exact question that is unresolved.

Record who will supply the information and how you will follow up.

Leave the decision open until that information has been reviewed.

Ask a fellow learner whether your wording makes the next action clear.
