Setting clear appointment boundaries

Clear appointment information can prevent some difficult conversations before they happen. A learner should understand what has been agreed and which decisions belong to the instructor or manager.

Check what the booking includes

Review the service, timing and preparation information supplied by the studio. If the client expects something different, raise it before making a promise. Do not assume that an extra design change, a different procedure or additional time is automatically included.

Explain a limit without blaming the client

Use a factual sentence: “That change needs the practitioner’s review before we can confirm it.” Avoid arguing about why the person should have known the policy. Offer the next available route for clarification.

Keep decisions within your role

  • Do not promise a result or healing date.
  • Check pricing and refund questions against the actual policy.
  • Refer suitability and procedure changes to the responsible practitioner.
  • Follow the studio’s escalation process if the conversation becomes unsafe.

Practise before a real conversation

Use a fictional request for a longer appointment. Rehearse acknowledging the request, explaining what needs review and handing it over. Ask your tutor whether the explanation was accurate and easy to follow.

A useful boundary is specific enough for the person to understand what can happen next.
