A clear training record helps you explain what you studied, when you completed it and which questions still need attention. It should describe actual learning and evidence without claiming that one document proves every part of a business is compliant.
Keep the Course Details With the Certificate
Save the provider name, course title, outline supplied at enrolment and completion document. Check that the details are correct. If a qualification or unit code is important to the organisation requesting training, verify it explicitly rather than substituting a similar course name.
Record Follow-Up Learning
- The lesson or topic reviewed.
- A question that needed clarification.
- The answer or feedback received.
- Any further action and who is responsible.
A short dated record can make a future discussion clearer. It does not need to contain private client information or copied case histories.
Separate Personal Training From Workplace Records
Your course record describes your learning. Premises approvals, equipment documentation and workplace procedures are separate records with their own purposes. Ask the person responsible for those records how they are maintained and what you need to know for your role.
Do not label a general course certificate as a licence, premises approval or guarantee of safe practice. Use the terminology on the actual document.

If an employer, venue, insurer or authority asks for training evidence, clarify what it needs and provide the relevant documents through its appropriate channel. Avoid sending unrelated personal documents or claiming that acceptance is automatic.
Retain the request and response. If something is missing, resolve the specific gap with the recipient and provider. Review the record when your role changes or when a genuine renewal or further-training requirement applies.
